The ODOT project folder structure for design projects has been created with many subfolders including folders specific to Specialty Groups. This structure enables easier management and security assignments.

ODOT Specialty Groups include individuals who are members of a specific work group (Bridge, Roadway, Traffic, Environmental, Survey, Hydraulics, ROW, etc.).

The ODOT project folder structure and file placement within the folders presented here are based on suggestions from each Specialty Group. Interviews were conducted with the Specialty Groups to establish each group’s folder structure along with where key documents should be stored. It is critical to use the folder structure and file locations documented here to enable data synchronization between Specialty Groups.

ODOT requires that all electronic data shall reside in the ProjectWise project folder structure. Each Specialty Group has its own requirements and these are outlined and discussed in the respective Specialty Group section.

This chapter contains the procedures that should be followed by each Specialty Group to ensure the most efficient and consistent file storage usage within ProjectWise. By following these procedures, users will have up to date access to all project files. Users will expect data from within their groups and other groups to be available in its proper location when they need to access it.

The ODOT project folder is based on a Specialty Group folder structure with a subfolder structure designed specifically for the workflows of that Specialty Group.

This project folder structure and associated file naming conventions are replicated in all ODOT projects. This allows for consistent reliable document management enabling ODOT employees to locate and store documents in the same location from project to project.

 

Note: The ODOT project directory has evolved over the development and use of ProjectWise so the directory structure on older projects may not match what is present here.

 

Documents are stored in the project folder under one of the following Specialty Group subfolders. Documents should not be placed under the Project root directory or the Specialty Group root directory. The following is a list of Specialty Group folders that are hyperlinked to the appropriated folder information.

  • Bridge – Folder Structure for Bridge Design
  • Construction – Folder Structure for the Construction Division
  • Environmental – Folder Structure for the Environmental Division
  • Materials – Folder Structure for the Materials Division
  • Office Engineer – Folder Structure for the Office Engineer Division
  • Right of Way – Folder Structure for the Right of Way Division
  • Roadway – Folder Structure for Roadway Design
  • Survey – Folder Structure for the Survey Division
  • Traffic – Folder Structure for Traffic Design

There are number of “community” level folders within the folder structure.  These folders are in the root of the project as shown in the figure above.

  • CD Contents – Contents of the CD from the consultant upon submission
  • Correspondence – Emails or Documents from all design divisions that are to be shared between specialty groups
  • Deliverables – PDF’s of Milestone Deliverables such as 30/60/65/90/Final
  • Imagery – As-Built / Construction / Pre-Construction images of the project
